We have a vacancy for an experienced MEETING & EVENTS COORDINATOR on an full time basis at WEST LODGE PARK HOTEL.

About the role

  • M&E Sales Coordinator required, to assist M&E Sales Manager with all aspects of Functions/Event Bookings and other business sales opportunities.
  • Full time role, working 34 hours per week (excluding 30 mins. unpaid break per shift), worked over 5 days per week, mainly weekdays with occasional weekend availability (for show-rounds, in case of specific Functions/business needs). Please Note: The full time hours for this role are usually 40 hours P.W. (excluding unpaid breaks), currently reduced to 34 hours P.W. Excl. breaks; the hours may increase back up to 40 hrs P.W. (excl. breaks) at some stage in the future – TBC in line with business needs.
  • Key tasks include: positively representing and promoting the company, identifying new business/sales opportunities, attending daily morning briefing and weekly function sheet meeting (as/when required), fielding daily communication with prospective clients (via phone, email and in person), meeting clients and providing excellent customer care (from initial show round to final details), negotiation with clients regarding contract details and production of Function/Event contracts (and associated documents), daily liaison with Management, other employees at all levels, guests and 3rd part contractors etc.), Function Diary management, administration related to M&E Sales (contracts, emails, function place cards, table plans etc.)
  • Role requires an excellent communicator, who can work well, effectively and collaboratively with key internal and external stakeholders (e.g. Management, C&B Operations, Kitchen Management/Brigade, Guests, Suppliers etc.).
  • Proactive approach to sales, ability to create and maintain good business relationships, flexibility and good work ethic essential
  • Good team player, able to work independently with minimal supervision, as well as part of a Team.
  • Relevant experience of working in similar M&E role, with proven track record of sales ability required, in a similar or comparable environment
  • Excellent interpersonal skills, professional, with highest level of Customer Service skills essential, including smart personal presentation standards.
  • Good IT skills required (including good standard of Microsoft Office Suite products – Word & Excel etc.), knowledge of Guestline Rezlynx preferable (comparable system may be considered).
  • Literate, Numerate, highly organized with a good attention to detail essential, due to word processing tasks and Function/Event contract cost negotiations/communication.
